Shared Transactions Transaction Allocation Body Field

Purpose:

The purpose of this article is to explain how to add, remove, or move the "Shared Transaction Body" field on your transaction page. This field allows you to apply a single template to an entire transaction (e.g. bill). This feature can really streamline your allocation but requires that all lines in the transaction use the same allocation template.


Keep in Mind:
By default the "Shared Transaction Body" field will always appear on your bill under the subtab "Custom." If you removed this field for any reason, follow the instructions below to add it back, or even move the field to a different area/subtab on the bill.

Step by Step Process:

Go to Customization>Forms>Transaction Forms.

Select the Vendor Bill record and go to the Screen Fields subtab and then to the sublist Custom


Then you will search for the label titled Shared Transaction Template (Body), select the box for it to show, and then select Save.  


Recommendation!
Move this field to the main tab or another tab that is more accessible for quicker input and faster allocations. 

Next go back to the vendor bill. Transactions>Payables>Enter Bills>List

In the bill select Edit and go to the subtab Custom (or the subtab it was moved to).

In the custom subtab there is a field titled SHARED TRANSACTION TEMPLATE (BODY). There will be a drop down list where you select which template to use for all the lines on the bill. Then select Save.

Then go to the subtab Shared Transaction and then sublist Allocation Impact. There each of the transaction lines have been automatically allocated based on the template selected in the SHARED TRANSACTION TEMPLATE (BODY) field.

Below is the transaction allocation on the Allocation Impact sublist. The 50/50 Split template was selected and has successfully allocated the $5,000 transaction lines without having to go to the Allocate Expenses page.
