We're thrilled to introduce the newest enhancement for NetClose, AI Flux Explanations. It has been designed with a keen emphasis on safety and security. This feature, powered by the OpenAI GPT API, provides users with an instant analysis of their account activity and does it with a deep respect for data privacy. Here are some key points to summarize how we are accomplishing this in a secure manner.
Data Security:
From March 1, 2023, OpenAI has made crucial changes to its data usage and retention policies to enhance data security. This new policy ensures that no data submitted by NetClose via the API will be used to train or improve OpenAI's models unless you, the user, explicitly opt to share your data. In essence, OpenAI now operates on an opt-in policy regarding data sharing for model improvement, reinforcing your control over your data. No prompts sent via NetClose will be “opted in”.
Furthermore, the OpenAI API will retain data sent via the API for a maximum of 30 days, solely for the purpose of monitoring misuse or abuse. After this period, unless mandated by legal requirements, the data will be deleted, ensuring that your data doesn't linger indefinitely in the system.
It's also important to note that only a select group of authorized OpenAI employees and specialized third-party contractors bound by confidentiality and security obligations can access this data for misuse investigation.
What data is being sent:
These prompts do not include sensitive details such as the company's name or industry. Instead, they encompass aggregate information like the account type, total account balance and count of transactions by type.
For the model to provide real insights, we need to send over some key data. NetClose sends the largest 150 transaction lines in each of the current and comparison periods.
NetClose offers two types of data submissions, Standard and Secure, both designed to cater to your privacy preferences.
The Standard query includes details such as date, subsidiary name, account, transaction type, entity name, transaction name, memo, and amount.
The Secure data query, on the other hand, prioritizes the utmost confidentiality. While it includes details such as date, account, transaction type, transaction name, and amount, it replaces potentially identifying data with internal IDs. For example, it uses the subsidiary's internal ID and the entity's internal ID instead of their names.
Additionally, you can configure the system to omit transaction memos from the submitted queries for additional security.
To control whether you use a standard or secure query, we have 2 settings you may enable in NetClose. These settings are found in NetSuite under NetClose > Setup > System Setup, under the "Flux Analysis AI" field group heading.
The "ID Preferred" setting will set your query to be the secure style of query described above.
The "Do Not Include Transaction Memo" setting will remove memos from transactions submitted.
