NetClose - Add NetClose Users

Overview

This article outlines how to grant user access to NetClose in NetSuite, either individually through the employee record or in bulk via CSV upload. Users can be granted either Full access—allowing visibility and control over all NetClose functions—or Task Only access, which limits permissions to assigned tasks. License availability must be considered before assigning access.

Adding NetClose Users Manually

To add a NetClose user manually: 

  • Navigate to the relevant Employee record in NetSuite and select Edit.
  • Go to the NetClose subtab.
  • In the NetClose User Type dropdown, select the appropriate level:
    • Full Access – Grants full visibility and functionality within NetClose.
    • Task Only Access – Grants access only to task-related features.
  • Save the record. 

Adding NetClose Users Via CSV Upload

To assign NetClose access to multiple employees at once: 

  • Prepare a CSV file containing employee information:
    • Include either Employee Name or Internal ID (must match NetSuite records).
    • Include a column for NetClose Access Type (either "Full" or "Task Only").

  • Navigate to Setup > Import/Export > Import CSV Records.
  • Choose the following options:
    • Import Type: Employees
    • Record Type: Employees
  • Select the appropriate CSV file, and then click Next.

  • On the next screen, select Update for data handling and then select Next.

  • Map the fields in your CSV to the appropriate NetSuite fields:
    • Match Employee Name or Internal ID to the corresponding field.
    • Map the NetClose Access Type column to the NetClose User Type field in NetSuite.
  • Once all the necessary fields are properly mapped, click Next.

  • On the final screen, click Run to process the import. Once the import is complete, affected employee records will have the NetClose user access field updated accordingly.
