SuperSync Files - Record Type Configs Overview
Overview
Once the connection/s have been configured, the next step is to create a Record Type Config. This guides the system to what records the connection should apply to and how this application should work. For example, configuring specific file paths, permissions, and the auto-creation of new sub folders.
Each connection needs at least one Record Type Config . However, there is not a limit on the amount of unique Record Type Configs that can be established in SuperSync Files. Note, for the connection to work, the desired record must be scriptable.
Step by Step Process
- Navigate to SuperSync Files > Configs > Connections and select Record Type Configs
- Select the record you wish to edit or select New SSF | Record Type Config.
- Navigate to the Connection dropdown and select the connection you would like to configure
- Navigate to Record Type Select and select the record type this should apply to.
NOTE - There are four options to choose from:
- All Record Types - Applies configs to all record types
- All Transaction Types - Applies configs to all transaction record types
- All Entity Types - Applies configs to all entity record types
- Any individual record type - Applies to the selected record type - The Name field will default in the selection from the Record Type Select (i.e. - All Record Types - will default a name of *, etc.)
Path Settings
The default settings will automatically create a folder within SharePoint at the connection location with the record type name and transaction or internal ID. As an example, if the record type is an Invoice, it will create a folder named โInvoiceโ. If there is a need to customize the folder path names and structure, that can be done from the Path Settings sub-tab. The formulas are very similar to saved search formulas.
Record Type Folder Formula - allows the creation of all desired folders that should be created within the file path
Specific Record Folder Formula - allows the creation of the final desired folder that should be created within the file path
Record Path SuiteQL Query - allows the creation of fields or conditions that cannot be found using formulas
Nest Under Parent Record - allows the creation of the folder path to start from a different record and add it to the current record config. As an example, the Sales Order number as the specific folder nested in Sales Orders under the customer path.
In the following example the file path would look something like this: Customers/Netgain/Invoices/0001
Permissions Settings
If there is a need for permissions to differ from the overall connection level, that can be accomplished via the Permissions sub-tab. This is often used for confidential information for accounting, HR, etc. More information on permission configuration can be found in the SuperSync Files Permissions Settings Article and begin on Step 5.
