NetClose - Flux Reports
Overview
There are two ways to download flux analysis data from NetClose:
- Review Flux Analysis page - export one flux scenario at a time, either as a flat Excel file or as a formatted balance sheet and income statement workbook.
- Saved search on NetClose Flux Analysis - download data for multiple flux scenarios at once, with the fields you choose.
Export scenarios from the Review Flux Analysis page
Both export options on the Review Flux Analysis page download one flux scenario at a time. They respect the settings in the Filters panel and do not use the search box.
- Navigate to NetClose > Flux Analysis > Review Flux Analysis.
- Select the Flux Scenario and apply any filters you need.
- Open the export menu and select Excel Export or Formatted Export.
Excel Export
Excel Export downloads the rows in the grid as a flat Excel file, one row per account or flux group. The file includes balances, explanations, preparers, reviewers, and status.
Formatted Export
Formatted Export downloads a workbook laid out like a financial statement, ready to share with a CFO or auditor.
Formatting is based on flux groups, not your NetSuite financials
Keep in mind that the Balance Sheet and Income Statement on the formatted export are based on your flux groups and accounts, not your NetSuite Balance Sheet and Income Statement. To make changes to your flux groups, see NetClose - Flux Account Groups.
If the grid holds more than one subsidiary or segment, the Formatted Export dialog opens. One workbook covers one subsidiary and segment, so choose a Subsidiary and, if your scenario runs by segment, a segment, then select Export. If the grid holds only one subsidiary and segment, the file downloads right away. To get every subsidiary or segment, run the export once for each.
The file is named Flux Statements - [current period] - [subsidiary] - [segment]. NetClose shows a warning message if it finds data it could not place cleanly, for example a flux group whose total does not match the accounts under it.
The workbook has these features:
- Separate Balance Sheet and Income Statement tabs.
- Flux groups appear as sections. Each section lists its accounts, then a bold Total row for the group. When a group has an explanation, it appears on the total row. Use the Excel outline controls to collapse a section down to its total.
- Accounts that are not in a flux group appear in an Ungrouped section at the bottom of their half of the statement.
- The Balance Sheet tab ends each half with Total Assets and Total Liabilities and Equity. The Income Statement tab ends with Net Income.
- Accounts with no balance in either period and no explanation are left out. A note near the top of each tab states how many were not shown.
| Column | Contents |
|---|---|
| Account / Group | The account or flux group name. |
| Comparison period | The comparison balance, headed with the period name (or Budget when the scenario compares to a budget). |
| Current period | The current balance, headed with the period name. |
| Change $ | The difference between the current and comparison balance. |
| Change % | The percentage change. It is blank when the comparison balance is zero. |
| Explanation | The primary explanation for the account or group. |
| Prepared by | The preparer assigned to the analysis. |
| Reviewed by | The reviewers assigned to the analysis. |
How groups are placed on the statement
NetClose uses the settings on each flux group, and the NetSuite account type of the accounts in it, to decide where it goes in the workbook.
- Which tab: the group's Flux Type (Balance Sheet or Income Statement) decides the tab. If a group has no Flux Type, NetClose uses the NetSuite account type of the accounts in it.
- Which half of the tab: the group's Normal Balance (Debit or Credit) decides the half. Debit groups go under Assets on the Balance Sheet and Expenses on the Income Statement. Credit groups go under Liabilities and Equity and Revenue. If a group has no Normal Balance, NetClose uses the natural balance of the accounts in it: liability, credit card, deferred revenue, equity, and income accounts are credit, and all other accounts are debit.
- Order within a half: groups appear in the order set by the flux group sort order.
If a group has no Flux Type and holds both balance sheet and income statement accounts, NetClose cannot place it. The group total is left out, its accounts appear in the Ungrouped sections by their own account type, and a warning message appears when the file downloads. Set a Flux Type on the group to keep the accounts together.
Totals may not match your financial statements
Totals such as Total Assets and Net Income only cover the accounts in your flux scenario. Accounts that are not in the scenario do not appear, accounts that are not in a flux group are listed under Ungrouped, and accounts with no balance and no explanation are left out. A group total from a group-level analysis can also differ from the accounts under it if the analyses were generated at different times. To review or change which accounts belong to each group, see NetClose - Flux Account Groups.
Export multiple scenarios with a saved search
To download data for several flux scenarios at once, create a saved search on the NetClose Flux Analysis record and download the results. Every flux analysis record is one row in the results, so you can add any field on the flux record as a column.
- Navigate to Lists > Search > Saved Searches > New and select NetClose Flux Analysis.
- Enter a Search Title.
- On the Criteria tab, add filters to limit the results. For example, filter on Source Flux Scenario, Subsidiary, Status, or Date Created. With no filters, the search returns every flux analysis record.
- On the Results tab, add the fields you want as columns. To easily multi-select fields, select Add Multiple.
- Select Save & Run, or Preview to check the results first.
On the results page, use the export icons above the results to download them to Excel, CSV, or PDF.
Reuse the saved search each close
Saved searches stay in NetSuite. Run the same search each period and change the criteria, for example the scenario or subsidiary, to pull the data you need.
