NetLease - Mid-Month Terminations

Overview

A mid-month termination permits the effective termination date of a lease to fall on any day within an open accounting period, not solely on the last day of that period. Once the feature is enabled in Global Settings, the standard period-end date selector on the Termination form is replaced with a free-form date field. NetLease calculates prorated amounts for the partial period and generates a dedicated mid-month termination schedule line and journal entry reflecting the proportional de-recognition of the ROU asset and lease liability balances.

Key Assumptions

  • The lease must use a standard monthly accounting calendar. Mid-month terminations are not available for leases assigned a custom calendar.
  • The termination date must fall within the lease term — after the lease commencement date and on or before the lease end date.
  • The termination date must fall within or after the current open accounting period. 

Prerequisites

  • The Allow Mid-Month Terminations checkbox must be enabled in NetLease Global Settings before mid-month termination dates become available on the Termination form.
  • The lease must have a generated amortization schedule and a status of Commenced.

Step-by-Step Process

Part 1: Enable Mid-Month Terminations in Global Settings

  1. Navigate to NetLease > NetLease Setup > Global Settings.
  2. On the General tab, locate the Termination Settings section.
  3. Select the Allow Mid-Month Terminations checkbox.
  4. Click Save.

Part 2: Terminate a Lease Mid-Month

  • Navigate to the desired lease record.
  • Click the Terminate Lease button. The Lease Termination form opens.
  • In the Termination Information section, enter a specific date in the Effective Termination Date field. This field accepts any date within the current open accounting period or future accounting periods when mid-month terminations are enabled. When the feature is not enabled, this field presents period-end dates only.

  • Complete the remaining termination fields as required:
    • Cash Paid To Terminate Lease — enter any cash consideration paid to the lessor to terminate the lease early, if applicable.
    • Cash Received To Terminate Lease — enter any cash consideration received from the lessor, if applicable.
    • Termination Reason — select the reason for termination.
    • Termination Note — enter any additional notes, if required.
  • Click Submit. NetLease queues the termination for processing.
  • Once processing is complete, the lease status updates to Terminated. A mid-month termination schedule line and associated journal entry are created, reflecting prorated balances for the partial period.

Considerations

  • Prorated Calculations: The system calculates the proportion of the period that elapsed as of the termination date and applies that proportion to the period's lease expense, amortization, interest, and balance de-recognition amounts. The resulting mid-month schedule line reflects only the partial-period activity.
  • Journal Entry Timing: The termination journal entry is posted as of the effective termination date entered on the form. If the Delay Termination Posting option is also enabled in Global Settings, journal entry creation follows the configured delay preference.
  • Gain/Loss Recognition: Any gain or loss on termination is calculated using the prorated balances as of the effective termination date. Cash paid or received to terminate the lease is incorporated into the gain/loss computation.
  • Multi-Book Leases: For leases with a secondary accounting book, prorated mid-month termination amounts are calculated and journalized for each book independently.
  • Approval Routing: If Auto Approve Transactions is configured for NetLease Termination Entry in Global Settings, the generated termination journal entry is approved automatically. Otherwise, the entry requires manual approval.
  • Future Dated Terminations: When a termination is entered for the future, the proposal sits in Scheduled status and the lease says in Commenced status. The JE and flip to Terminated happen when the journal run reaches the terminated month. 

Limitations/Callouts

  • Mid-month terminations are not supported for leases using a Custom Calendar. The Effective Termination Date free-form date field does not appear for such leases even when the global setting is enabled.
  • The effective termination date cannot precede the lease commencement date, cannot be after the lease end date, and cannot fall before the start of the first open schedule line period.
  • Bulk terminations initiated from the Termination Proposals view also respect the mid-month termination setting when it is enabled, presenting the date field for each qualifying lease.
  • This feature was previously unsupported. Organizations that historically recorded terminations only at period ends should review their termination workflow and confirm that the global setting is enabled before attempting to enter an intra-period termination date.
