NetClose - Google Drive Reconciliations Setup

Overview

The Document Management feature in NetClose Reconciliations provides the user with a live connection between their Google Drive files and the Reconciliation Records within NetClose. This feature streamlines the reconciliation process by providing the user with a direct link to all support documentation and the ability to auto-create support "Items" within the Reconciliation Record. The walkthrough below explains how to set up Document Management with Google Drive.

Initial Setup

  1. Download the Shared Transactions SuiteApp (No additional cost)

  2. Navigate to Netgain > Setup > System Setup> Document Management

  3. Specify the Folder ID of the Google Drive Folder that you will be using for Document Management. Navigate to the Google Drive folder that you want to use for NetClose Reconciliations. The Folder ID can be found in the URL for that folder. The URL will look something like this "https://drive.google.com/drive/folders/12YuKFNanbynn4zK-ZaprIM0DwHykuBlH" The Folder ID is the part of the URL that is highlighted in green. 

  4. Click on the Google Authentication Link. This will prompt the user to sign in to their Google Drive account. Once signed in, the system will gain access to the user's authorized folders. Users will know the connection was successful when there are asterisks under the "Google Drive Access Token" field.

  5. Parse X Tabs: This setting is designed for users with very large supporting files who may encounter issues syncing large files. This field takes an integer value and NetClose will look only at the first number of sheets indicated. For example, if the Parse X Tabs is set to 1, NetClose will read only the first tab/sheet in the file. If it is set to 2, NetClose will read only the first two tabs/sheets in the file. 

Troubleshooting

Google Drive authentication is blocked or repeatedly denied

If users cannot authenticate, your Google Workspace admin policies are likely blocking the Netgain app. Check Admin Console > Security > API controls > Settings and review the App access control settings to see whether your organization uses a "Trusted" or "Restricted" app policy.

To resolve this, your IT team needs to explicitly allow the Netgain app - either by adding its OAuth client ID to the trusted apps list, or by switching the policy from "Don't allow" to "Allow users to request access."

Adding the client ID

  1. Go to Admin Console > Security > Access and data control > API controls > Manage App Access.
  2. Click Add app and choose OAuth App Name Or Client ID.
  3. Enter the client ID: 334811412502-4odl3cdfalek1onua21a80ah5kfcfkbk.apps.googleusercontent.com
  4. Set access to Trusted for the appropriate organizational units.

Alternatively, search for "Netgain" in the configured apps list. If it appears there, change it from "Blocked" to "Trusted."
