NetLease - Lease Bulk CSV Upload

Use Case

As part of the initial upload, it may be beneficial to upload lease details in bulk, rather than one by one. This is especially true when there are a large number of leases, and/or leases with large changes to payment schedules, including quarterly payments or rent holidays.

NetLease uses NetSuite’s native .csv upload process and it is broken out into a two-step process.

Overall Process

  1. Upload Lease Details: This is necessary to input all the required fields so that the lease can be saved and a lease ID can be generated
  2. Upload Sublist Detail: Once a Lease Record is created, additional sublist details can be uploaded and tied to a specific lease by linking to the lease ID. Example sublists include the following:
    1. NetLease Lease Payments (most common)
    2. NetLease Contract Provisions
    3. NetLease Fee

Lease Upload Details

  • Uploading leases requires gathering all relevant lease information into a CSV file. Download the NetLease Lease Template  and create an individual row per lease record to be uploaded to NetLease.
    • See the Lease Template Help article for explanations for each column.
    • Follow the tips in the NetLease Template Cleanup Guide to make sure the file will upload as expected.

  • Remove the unnecessary rows and columns and save the Lease Tab as a separate CSV file. It will look like the below once saved correctly.

  • Navigate to the Import Assistant by accessing Setup > Import/Export > Import CSV Records.
    • With the Import Assistant open, set the Import Type to Custom Records and the Record Type drop-down to NetLease Lease.
    • Under the CSV files section, click on the Select button and upload the .csv file you saved.

  • Click Next.
  • Verify Add is selected as the Data Handling type. Click the arrow next to Advanced Options to expand the additional options and check the box for Run Server SuiteScript and trigger Workflows.

  • Click Next.
  • This next page is the Field Mapping page, where the columns from the CSV Import file are mapped to the fields on the NetLease record.
    • Note that NetSuite tries to directly map all the fields it can recognize. When fields are not recognized, they must be manually matched between the CSV upload file and NetSuite fields. Ensure that all required fields are properly mapped.

  • For any columns using an internal ID instead of a name (recommended for lists in NetSuite like Subsidiary, Department, Class, and Location), change the reference from the Name to Internal ID. 
    • To do this, click the pencil icon next to the field. A popup window will appear. Click the dropdown for Choose Reference Type and change it to Internal ID. Note: External ID typically will not work and should not be used.

  • Once all mapping is complete, click the Next button.
  • If you want to save this mapping and the settings for future imports, enter an Import Map Name and then click Save & Run in the bottom corner. If you just want to run the import without saving, hover over the arrow icon next to Save & Run and select Run

  • Click the link to View Status in the popup window or navigate to Setup > Import/Export > View CSV Import Status to see the the completion percentage for your upload. You are looking for 100.0% Percent Complete and for all records to be imported successfully.
