NetAsset - Customize Depreciation Schedule Saved Search
Overview
The depreciation schedule sublist on asset records uses an underlying saved search to display schedule line information. Users can customize this saved search to add additional columns from the NetAsset Schedule Line record, such as Elimination Journals or other schedule line data. Custom fields can be added to the schedule line record and shown on the depreciation schedule as well. This customization allows users to view relevant schedule information directly on the asset record without navigating to separate reports.
For Impairment Column Additions
Follow the steps below, but skip the creation of a new saved search when all you want to add are the impairment fields. There is an out of the box saved search called NetAsset Advanced Depreciation Schedule Sublist [USED ON LAYOUT] with the Accumulated Impairment and Impairment Expense fields already added.
Step-by-Step Process
1. Locate the Existing Depreciation Schedule Saved Search
- Navigate to Customization > Lists, Records, & Fields > Record Types.
- Click on the NetAsset Asset custom record.
- Navigate to Sublists, and then locate the sublist for the schedule to be updated.
2. Copy and Edit the Saved Search
- Copy the name of the Saved Search identified in Step 1 (e.g., NetAsset Depreciation Schedule Sublist [USED ON LAYOUT]), paste it into the global search, and then open the saved search from the results.
- Click Edit this Search at the top of the saved search.
- Navigate to the Results subtab, and add the desired field(s), and optionally rearrange and/or give the field(s) a custom label if desired.
- Next, give the search a unique Search Title and then click Save As to save a copy of the custom saved search.
3. Create a Custom Sublist on the Asset Record
- Navigate back to Customization > Lists, Records, & Fields > Record Types, and then reselect the NetAsset Asset custom record from the list of record types.
- Click on the Sublists subtab.
- Add a new Sublist and ensure that the Search selected is the new custom saved search that was just created, give the sublist a Label, and make sure the tab selected is Depreciation Schedules.
Note that it is important to create a new Sublist rather than just simply updating the search for the existing sublist as doing so could get wiped out upon a bundle update of NetAsset.
- Click Save to resave the NetAsset Asset custom record.
4. Update the Asset Form
- After saving, navigate back to the NetAsset Asset custom record and go to the Forms subtab.
- Select Edit on the form that needs to be edited.
If a custom form has not yet been created for the NetAsset Asset record, refer to the NetAsset - Form Design Preferences article for instructions.
A custom form should be used because changes made to the out-of-the-box form may be overwritten and reverted to default settings during a NetAsset bundle update.
- Under the Sublists subtab and the Depreciation Schedules sublist, ensure the out-of-the-box depreciation schedule sublist is set to not show and the newly created depreciation schedule sublist is set to Show. Then rearrange the order of the sublists as needed.
Click Save to save the custom form.
- Navigate to an asset record to verify that the new depreciation schedule is displaying correctly.
Troubleshooting
Custom saved search not displaying data:
- Verify the search type is set to NetAsset Schedule Line
- Check that criteria filters aren't excluding data
- Confirm the Results columns are configured correctly
Bundle update removed my columns:
- This occurs when modifications are made directly to out-of-the-box sublists rather than creating custom sublists
- Follow the process above to create a custom sublist, which will be preserved during updates
Custom sublist not appearing on asset record:
- Verify the sublist is set to Show on the asset form being used
- Confirm the correct tab is selected for the sublist location
- Check that user role has permission to view custom sublists
