NetAsset - Data Upload

Overview

For the initial upload, it may be more efficient to import asset details in bulk rather than individually, particularly when managing a large volume of assets. 

Netgain provides standardized .csv upload templates for bulk uploading asset details. A similar process can be used to review and update existing asset records or to create new ones. This method is particularly effective for managing large volumes of assets that require updates and/or initial loading.

Step-by-Step Process

  • Open the Asset Header Upload Excel template and complete the required header fields with the appropriate asset details before initiating the upload process:

  • Once the Excel file is completed, save it as a .csv file in a known and accessible location.
  • Navigate to Setup > Import/Export > Import CSV Records to initiate the import process:

  • With the Import Assistant open, set the Import Type to Custom Records and select NetAsset Asset from the Record Type drop-down menu.
  • Under the CSV File(s) section, click the Select button and upload the previously saved .csv file:

  • Click Next in the bottom right corner to proceed.
  • Within the Import Options section:
    • Ensure Add is selected—choose Update if you are modifying fields on assets that have already been uploaded.
    • Under Advanced Options, enable Run Server SuiteScript and Trigger Workflows to ensure the correct End Date is calculated.

  • Click Next to proceed to the Field Mapping step.
  • NetSuite will automatically map any fields it recognizes. For fields that aren't recognized, you'll need to manually match them between your .csv upload file and the corresponding NetSuite fields. Make sure that all required fields are properly mapped before proceeding:

  • Once mapping is complete, click Next to proceed.
  • On the final step, enter an Import Map Name and click Save & Run to save the mapping for future use, or simply click Run to proceed without saving:

  • If the fields are mapped correctly and the data is formatted to match NetSuite’s field values, the upload will complete successfully, and the assets will be available to view in NetSuite.
  • In the event of a failed upload, review the CSV Response to identify the specific reasons for the failure, then repeat the steps outlined above.
