Shared Transactions Roles & Permissions

Overview

The use of roles in NetSuite can vary widely across organizations. Shared Transactions is designed to be flexible and align with each organization’s existing role, permission, and segregation-of-duties strategy. As a result, after installing Shared Transactions, role permissions may need to be reviewed and updated to ensure proper access to the new features.

Step-by-Step Process

  • Navigate to Setup > Users/Roles > Manage Roles.
  • Click Edit next to the role that requires updating.
  • The role record and its associated details will open and appear similar to the example below:

  • Under the Permissions subtab, add the following permissions with the appropriate access level (e.g., Full, Edit, View) based on the desired role capabilities:
    • Transactions Sublist
      • Shared Transaction Journal - Controls the ability to create Shared Transaction journals by applying templates and allocations to transactions—as well as view and/or modify those journals.
    • Custom Record Sublist
      • Shared Transaction Allocation - Determines whether the user can create, view, and/or modify allocations within a template. 
      • Shared Transaction Sourcing - Controls whether the user can create, view, and/or modify sourcing records. 
      • Shared Transaction Template - Determines if the user can create, view, and/or modify transaction templates. 
      • Netgain Tools Setup - Controls access to view and/or modify system settings related to Netgain Tools.
  • After the role has been updated with the required permissions and access levels, Save the changes to apply them.
