NetAsset - Maintenance Management: Case Events

Overview

Case events are a key feature within the maintenance module of NetAsset. They are a custom record type that defines events capable of triggering the creation of new maintenance cases. Case events offer flexibility in configuring different maintenance triggers for each asset/rental type, streamlining and automating the case creation process.

Prerequisites

  • Ensure cases are enabled in the NetSuite environment and that the Maintenance Management add-on in NetAsset is activated. For setup instructions, refer to the Maintenance Management Setup Guide.


Step-by-Step Process

  • Navigate to NetAsset > Maintenance > NetAsset Case Event > New.
  • Assign a name to the Case Event, then select an Event Type from the following options: 
    • Usage Lifetime – Triggers a one-time case when a specified usage threshold is reached. Ideal for cumulative tracking (e.g., Transmission service at 60,000 miles).
    • Usage Recurring – Generates a case each time the defined usage threshold is met, then resets for the next cycle (e.g., Oil change every 7,000 miles).
    • Time Based Lifetime – Creates a case based on a single, predefined time duration over the record’s lifetime (e.g., Annual inspection after one year).
    • Time Based Recurring – Generates cases on a repeating schedule, such as weekly, monthly, or quarterly service checks.

  • The next step depends on whether a Usage-Based or Time-Based Case Event is being created:
    • For Usage-Based Events: Enter a value in the Usage Amount field:
    • For Time-Based Events: Choose one of the following options:
      • Select a Time Type (e.g., daily, weekly, monthly).
      • Select a Time Unit Type (e.g., days, weeks, months) and enter the number of units that must pass before a case is created in the Time Units field.
    • For both options, a starting date for time tracking can be specified. In the Time Field field, select either Acquisition or In-Service:
  • Once all required fields are populated, click Save to store the Case Event record.

Next Steps

  • Create Case Templates for the system to use as predefined formats when generating new Case records.
